These terms apply to all tours, motorbike rentals, bus transfers and related services booked with Loop Trails. By completing a booking you agree to the summary below.
1. Prices
All prices are in Vietnamese Dong (VND) and include VAT and compulsory service charges unless stated otherwise. If supplier costs, taxes or exchange rates change significantly, we will notify you in writing before any adjustment.
2. Deposit & payment
A 20% deposit secures your booking and the balance is paid on the morning of departure. Small bookings may require full payment. Card payments carry a bank processing fee (3.5% international, 1.5% domestic).
3. Booking confirmation
After payment you receive an invoice by email, followed within 24 hours by a confirmation with your tour, rental, bus and accommodation details. Please check it and tell us about any errors within 48 hours.
4. Cancellation by you
31 days or more before departure: 90% refund. 30–16 days: 50% charged. 15 days or less, or no-show: no refund. Cancellations must be sent by email; refunds are processed within 7–14 business days.
5. Cancellation by us
If we ever need to cancel, you can choose a full refund, a travel credit worth 110% of your payment valid for 18 months, or an alternative tour of equal value.
6. Force majeure
For events beyond anyone’s control — severe weather, landslides, border closures, epidemics — we offer postponement within 18 months, a 100% travel credit, or a partial refund covering costs not yet committed to suppliers.
7. Safety & conduct
Riding mountain roads carries inherent risk. Guests must follow guide instructions, wear the protective gear provided, disclose relevant medical conditions and never ride under the influence. We may end participation without refund for unsafe or illegal behaviour.
8. Motorbike rental
Self-drive riders need a valid passport and an IDP (1968 convention) with the correct class. Bikes are photographed at handover; damage is charged at actual repair cost with transparent evidence.
9. Travel insurance
Insurance is not included. We strongly recommend comprehensive cover that explicitly includes motorbike riding and cancellation.
10. Privacy policy
We collect only the details needed to run your trip (name, contact, nationality, passport where required). Data is shared only with partners delivering your services and is never sold. Photos taken on tour may be used for marketing; tell your guide if you prefer not to be photographed, or email us to remove any image.
